Privacy notice
Revised September 28, 2026
This notice explains how COSRAM Solutions LLC uses personal information when you visit this website or inquire about our software engineering services. It covers initial inquiries and related business correspondence. Personal data handled in the course of a client project is addressed separately in the relevant service agreement and, where required, a data processing agreement.
Who is responsible
COSRAM Solutions LLC, a company registered in Florida, USA, is responsible for deciding how personal information from inquiries about its services is used. The website is intended for people considering software engineering services for their business. It has no customer accounts, checkout or newsletter subscription.
Information you provide
When you inquire, we receive your name, email address, message and any company name you choose to provide. We also receive information included in follow-up correspondence. Company name is optional. Providing information is voluntary, but we need a way to contact you and enough detail to respond. Please keep your initial message general. We can arrange a suitable way to share confidential information if needed. The website form does not accept attachments.
Why we use inquiry information
We use inquiry information to respond to your request, assess whether we can help, discuss a potential engagement and manage the related correspondence. Where European or UK data protection law applies, we rely on our legitimate interests in communicating with prospective business customers and handling their inquiries, balanced against their interests and rights. If you request steps toward a contract in your own capacity, we rely on taking those steps at your request. We rely on legal obligations where a law requires us to keep or disclose particular records. Sending an inquiry does not subscribe you to marketing.
Who handles the information
Inquiries are handled by COSRAM. We use Formspree to receive and deliver contact-form submissions, Proton Mail for business email, and OpenAI Sites to host this website. These providers process message content, contact details or technical records as needed for their role. Hosting services also process technical information to serve and protect the website and provide traffic statistics. We may disclose relevant information where required by law or where necessary to establish, exercise or defend legal claims. We do not sell inquiry information or use it for advertising profiles.
International access and processing
COSRAM is a US company operating remotely. Business correspondence may be accessed from more than one country, and service providers may process information outside your country of residence. A remote working arrangement does not change the purposes described in this notice. Where data protection law restricts a transfer to another country, the applicable transfer mechanism and safeguards must be in place. Information about the arrangements applying to your inquiry can be requested through the contact routes below.
How long inquiries are kept
For inquiries that do not lead to an engagement, we delete the correspondence from our active records no later than 12 months after the last exchange. We may delete it sooner when it is no longer needed. This applies to received and sent email, inquiry attachments received in later correspondence, and copies retained by the contact-form provider. Specific records may be kept longer where needed to meet a legal obligation or establish, exercise or defend an actual legal claim; the exception is limited to the information needed. Records of an agreed engagement follow the arrangements for that engagement and applicable record-keeping requirements. Residual provider backups may remain until overwritten through the provider’s backup cycle.
Cookies and technical information
Our application code does not set cookies or use browser storage, advertising trackers or embedded third-party media. Fonts and images are served with the website. OpenAI Sites automatically records website traffic and provides visitor and page-view statistics. Hosting and message-delivery services may also process technical information such as IP addresses, request times, browser details and delivery or security events. Their technical records and any service-level cookies are separate from the inquiry correspondence described above and are governed by the applicable provider arrangements.
Your choices and rights
Depending on the law that applies, you may have rights to access or correct personal information, request its erasure, restrict processing, or receive certain information in a portable form. These rights are subject to applicable conditions and exceptions. You may complain to the relevant data protection authority; for example, the Information Commissioner’s Office at ico.org.uk for UK matters, or the supervisory authority in the European country where you live or work. Contacting us first does not prevent you from making a complaint.
Your right to object
Where European or UK data protection law applies, you may object, on grounds relating to your particular situation, to processing based on our legitimate interests. We will stop that processing unless the applicable law permits us to continue, including where there are compelling legitimate grounds overriding your interests and rights or where processing is needed for legal claims.
Contact and privacy requests
To ask a privacy question or exercise a data protection right, reply to an existing email conversation with COSRAM or use the website contact form. State that your message concerns privacy; you do not need to request a service or become a customer. Identify the relevant correspondence and what you would like us to do. Please do not send unnecessary identity documents. We may ask for proportionate information to verify your identity, and will respond within the time required by applicable law.
Changes to this notice
We will revise this notice when the website or its data handling changes. The published version will show its revision date. Material changes will be communicated as required by the law that applies.
